Making a data request

Your rights are set out in our Privacy Notice. This page is the practical part: how to ask, what we need from you, how long we take, and what happens if we cannot do what you asked.
The short version
- Email [email protected]. That is the fastest route and the one we watch.
- No form is required and no particular wording is required. A request is valid however it reaches us and however it is phrased — including by post to our registered office, or through support. You do not have to mention data protection law, or name the right.
- We answer within one month. It is free.
- Some things you can do yourself, immediately, without asking us — see below.
What you can do yourself, right now
These take effect immediately and need no request:
- Export your data — in the portal, under Export. You get a structured, machine-readable file. This is also how we satisfy data portability.
- Delete your account — in the portal, under Settings. This erases your operational data and closes the account.
- Correct your account details — in the portal, under Settings.
- Withdraw consent — turn off the relevant channel in the app, reply STOP to an SMS, or use the switches on our Cookie Policy page for website analytics. Withdrawing is as easy as giving.
- Re-read what you accepted — in the portal and the mobile app, under Settings → Legal, with the version and date we hold for each.
The export is a substantial extract, not a warranty that it contains every record we hold. If you want a full access request rather than the self-service file, say so and we will assemble it by hand — that is your right, and asking for it costs you nothing.
How to ask
Write to [email protected], or to TrendSoft Ltd, Aa House 54, 27 Old Gloucester Street, London, WC1N 3AX, United Kingdom. It helps — but is not required — if you tell us:
- the email address on your Chartping account;
- what you would like us to do, in your own words;
- if you are after something specific, roughly what and roughly when, so we can find it.
Proving it is you
If you write from the email address on the account, that is normally enough. Otherwise we will ask you to confirm control of the account email or to sign in. We will never ask you for more information than we need to be satisfied, and we will not ask for identity documents for a routine request.
Where we genuinely need to verify you, or where a request is so broad that we have to ask what you mean, the one-month clock starts when you come back to us — not when you first wrote. We will tell you when that happens and why.
How long we take
- One month from receipt of your request, or from receipt of the information we needed to verify or clarify it.
- We can extend by up to two further months where a request is complex or where you have made several. If we do, we will tell you inside the first month and give you the reasons.
- There is no fee for a first request.
What each right means in practice
- Access — a copy of your personal data, plus the information in the Privacy Notice about why we hold it and who receives it. Where the data includes information about someone else, we may need to redact it; we will tell you in category terms what was withheld.
- Rectification — we correct what is wrong. Where we have already passed the incorrect data to a recipient, we tell them too, unless that is impossible or would take disproportionate effort — and you can ask us who those recipients were.
- Erasure — we delete your operational data and instruct the providers that hold related records to do the same. Some records we must keep: a short list of what and why is in the Privacy Notice, and we include that list when we confirm the erasure rather than leaving you to discover it.
- Restriction — we stop using the contested data while a dispute is resolved. We do this by switching off the processing that touches it and holding the records so nothing expires underneath you. We will tell you before we lift a restriction.
- Portability — the export file. If you want it sent directly to another provider and that is technically feasible, ask.
- Objection to marketing — we stop, immediately and unconditionally. There is no balancing test and we will not ask you to justify it.
- Objection to processing based on our legitimate interests — we stop unless we have compelling grounds that override your rights, and we tell you which it is.
If you are a customer of a Developer who uses Chartping
Some Developers build products on Chartping and issue licences to their own users. Where we handle that data, we act on the Developer's instructions and they — not we — decide what happens to it. If you write to us about data held for a Developer, we will acknowledge you, pass your request to them without undue delay, and tell you who to contact. We will not act on it ourselves, because it is not ours to decide.
If we say no
We can refuse a request, or part of one, in limited circumstances — for example where we cannot verify who you are, where the data is someone else's, or where a request is manifestly unfounded or excessive. Whenever we refuse in whole or in part we will tell you the reasons, and we will tell you that you can complain to the Information Commissioner's Office and that you can seek a remedy through the courts.
Complaining
Please tell us first if you can — [email protected] — because it is usually the fastest way to fix something. You do not have to. You can complain directly to the Information Commissioner's Office (ico.org.uk), the UK supervisory authority, at any time, and complaining to us does not affect that right.
